Here is a list of steps to follow to import works into IDA using an xls / csv / ods format

1- You must generate IDA references for all your works.
You can use our online system to do so:
- Society : your society name or ID
- Year : 2 last digits of the year
- Starting number : 1
- Number of keys : Number of references you need
Click on Generate.

2- Create an xls / csv / ods file with the works you wish to import into IDA
Here is the list of columns in this file (regardless of the format: xls / csv / ods) and the order:
You can add more than one title and one participant / rights owner per work. You just need to add a row with the same IDA reference.
- Ida reference : IDA reference of a work, you will need to generate it to add a new work
- Internal reference: Reference that enables identifying a work, e.g. the reference number on each society’s database.
- Main title : First designation given to the original work. For serial or series and other sets of works (linked), it is the generic title (i.e. « Derrick »).
- Subtitle : Any title given to a work which differs from the title of the original work: e.g. alternative title, foreign title, exploitation title etc.
- Title language : Language of the title
- Episode number : The episode number
- Season number : The season of a series, serial, soap, factual/documentary series
- IDA ref of the master: S’il s’agit d’une série, l’arbitre IDA du maître de cette série. Dans IDA tous les travaux d’une série sont liés à un seul maître.
- Production year : It can be: in priority the year showed in the credits or copyright of a production, by default the year of completion of the production, the year of first screening or broadcast of the work, the year of declaration of the work. The year of production must be no later than the current year.
- Production country : Country of the production company. For a co-production, there can be several countries of production.
- Shooting language : It is the language(s) in which the audiovisual work is shot.
- Initial destination : Exploitation mode for which the work has initially been intended. This could be cinema, television, video (DVD, VHS), internet, mobile devices etc.
- Keywords : The keywords complete the description of the work by bringing information on the type, the subject and various technical characteristics.
- Duration : Total duration of the work in minutes and/or seconds, including the credits.
- Distribution type : Type de distribution
- Internal reference participant : Reference that enables identifying a participant/ right owner in your database.
- Participant lastname : Participant/rights owner lastname
- Participant firstname : Participant/rights owner firstname
- IPI NN : Participant/rights owner IPI name number
- Participant society : Participant’s societycode
- Role : Role and nature of the author’s contribution to the work, i.e. text, direction, visual art, music etc
- A Right: Percentage share of primary rights for the rights owner.
- B Right: Percentage share of secondary rights for the rights owner.
- Master : If this work is a master, then set the value to “yes”
3- Save your file in format xlsx / csv / ods without modify the order or title of column.
4- Do not chang the first letters of the file and the “_”
5- Import your file in the import page or uplaod it on the SFTP server.
