How to – IDA

I- GENERATION OF IMPORT FILES FOR ADDING / UPDATING IDA WORKS using CSV (excel) files

Here is a list of step to follow to import you works into the IDA system using a xls / csv format. (examples of file are available at the end of this doc)

1- You must generate IDA references for all your works You can download a XLS file containing the calculation of the IDA reference which is available in the documentation section. You can also use our online system to do it : Generate ida keys 2- Create a xls file with the works you want to import into IDA

Here is the list of the column in this excel file and the order:

You can add more than one title and one participant / right-owner by work. You just have to add one line with the same IDA reference (see the example).

IDA_REF: IDA reference of a work, you will have to generate it.

INTERNAL REF: Internal reference of the work from your database

MAIN TITLE: Maint title of the work

SUBTITLE: Subtitle of the work

TITLE LANGUAGE: Language of the title

REF_EPISODE: If it is a series, the episode number (numeric only)

SEASON: If it is a series, the season number (numeric only)

IDA_REF of the master: If it is a series, the IDA ref. of the master of this series. In IDA all work in a series are linked to one master.

PRODUCTION YEAR: Year of production

SHOOTING_COUNTRY: Country of production

SHOOTING LANGUAGE: Language of production

INTIAL DESTINATION: Initial destination of the work

KEYWORDS: Keywords of the works ( 5 keywords minimum by work separated by a space)

DURATION: duration in second

DISTRIBUTION TYPE: Type of distribution

PARTICIPANT REFERENCE: Internal reference of the participant/Right owner from your database

PARTICIPANT LASTNAME: last name of the participant/Right owner

PARTICIPANT FIRSTNAME: First name of the participant/Right owner

IPI: IPI name number of the participant/Right owner

PARTICIPANT SOCIETY: Society code of the participant

ROLE: Role of the participant

A RIGHTS: Percentage of share for the primary rights for the right owner

B RIGHTS: Percentage of share for the secondary rights for the right owner

MASTER : IF this work is a master then set the value to “yes”

3- Save this excel file into the specific format “csv file separator semi-colon’;'”. 4- Generate the IDA XML file using the script available on the IDA communication space Go here and click on generate (dont touch the select list button “ADD”) 5- Contact us and do the import into the user test environment

II- GENERATION OF ENRICHMENTS AND UPDATES FOR IDA WORKS using CSV (excel) files

1- You must check that the works you want to update or enriched are in IDA 2- Create a xls file with the information you want to import in IDA

If you want to make global update, you have to use the same order as if you were making an ADD file.

If you want to update or enrich only specific fields, you have to use other formats of file depending of which field you want to update/enriched . You can add, modify or delete specific fields when using this type of update (UPDATE field by field).

3- Save this excel file into the specific format “csv file” 4- Generate the IDA XML file using the script available on the IDA communication space For the global update go here :, change the list option, use “G_UPDATE” and click on generate. For the UPDATE field by field go here : 5- Contact us and do the import into the user test environment
